A venue can be stunning in photos and quietly wrong for your wedding. The gap between the two is almost always in the details you only think to ask about after you have signed. Here is what to check on every walkthrough, so you fall in love with your eyes open.
1. Real capacity, seated, with a dance floor
A room's "capacity" often assumes standing, or seating with no band, no dance floor, no lounge. Ask what the space holds for your actual format: seated dinner, dancing, and everything else you want in the room at once. A venue that fits 150 on paper can feel packed at 120 in practice.
2. The rain and heat plan
For any outdoor element, ask exactly what happens if the weather turns, and go look at the backup space. If the plan B is a room you would never have chosen, that is worth knowing now. Coastal fog, valley heat, and a sudden spring shower are all part of Bay Area planning.

3. What is actually included
Tables, chairs, linens, lighting, sound, staff. Two venues at the same price can be wildly different once you learn one includes all of that and the other includes four walls. The all-in number is the only one worth comparing.
4. Vendor rules
Some venues require you to use their catering or pick from an approved list; others let you bring your own. Neither is bad, but it shapes your budget and your menu. If cultural cuisine matters to you, confirm you can bring a caterer who does it well before you commit.
5. The clock
What time can you get in, and what time must everyone be out? Early load-in and a hard midnight cutoff both change your day. Overtime fees are one of the most common budget surprises, so learn the rules before, not during.
6. Logistics guests feel
Parking, accessibility, restrooms, and how far guests walk from ceremony to reception. These invisible things quietly decide how the day feels. A shuttle or a clear parking plan is often the difference between a smooth evening and a stressed one.
Read the contract before you fall in love
Once you have found the room, the contract tells you whether it will actually work. Look for the true all-in cost with service charges and taxes, the sound and noise rules (a hard curfew changes your whole night), the cancellation and postponement terms, insurance requirements, and any minimum spend on food and drink. A venue can be perfect and still carry terms that do not fit your plans, and the time to learn that is before the deposit, not after.
The costs that hide behind the rental fee
The venue fee is rarely the whole story. Ask specifically about required security, cleaning fees, valet or parking, power for a band or caterer, and whether you owe a fee for bringing your own vendors. These are all normal and all manageable, but they belong in your comparison from the start. Two venues at the same headline price can be thousands apart once the extras are on the page, which is exactly why the all-in number is the only fair way to compare.
7. Who runs point on the day
Does the venue provide a coordinator, and what exactly do they handle? Many "venue coordinators" manage the building, not your wedding.
